1. Send the basics
A useful first enquiry normally needs the postcode, affected elevation or area, one wide photograph, one close photograph, a short description and the required timeframe. Previous drawings or reports help where they exist.
2. Establish the real question
We review what is known and what is still missing. Sometimes the information is enough to discuss a defined package. Sometimes a site visit, close-up inspection, test or further document is needed first. We would rather identify that gap than hide it inside a provisional repair price.
3. Agree any assessment
If attendance is useful, the purpose of the visit should be clear: what needs checking, which locations, whether testing is involved and what record or report is required. Any fee is agreed before attendance.
4. Define the proposal
The proposal should make the package understandable, including work areas, materials, access assumptions, responsibilities, working hours, protection, inspections, exclusions and completion records. Where specialist input is required, that responsibility should be visible.
5. Plan before work starts
If the project proceeds, the delivery route and project controls are confirmed for the actual scope. A quotation, initial conversation or previous access to the building is not the same thing as permission to mobilise.
6. Close out what was actually done
The completion record should match the agreed job and may include photographs, locations completed, relevant product information and outstanding observations. It should not imply that work outside the agreed scope was inspected or completed.
